Create a Saved Search to Trigger an Email When a Memorized Transaction Falls Due

Scenario

Memorized Transactions are automatically created by the system. The sales team may not be aware that a transaction is about to fall due. An alert would help them make timely collections from customers.


Solution

1. Navigate to Reports > Saved Searches > All Saved Searches > New
2. Click Transaction
3. Give a name for the search in the Search Title field.
4. In the Criteria tab, under the Standard subtab, add the following:
- Type = any of Invoice
- Days Overdue = 0
- Status = any of Invoice:Open
- Memorized = Yes


5. In the Results tab, you may add Due Date/Receive By if desired. The results will be what the customer will see in the email


6. In the Email tab:
- Mark the Send Email Alerts when Records are Created/Updated checkbox
- Mark the Send Emails According to Schedule checkbox
- In the Recipients from Results subtab, mark the Send on Update checkbox and add Email in the Recipient field
- In the Customize Message subtab, add your message in the custom body text box

Note: A template is currently not available to be incorporated in the Saved Search. This is currently a feature request filed in Enhancement #158910 to be added in future versions of NetSuite.

To search & vote for the Enhancement - 10054 Voting for Enhancements. Setting vote to inactive removes vote count. Then the only notification to be sent is once the Enhancement has been implemented.

7. You may choose to mark the Send within Message, Send as CSV, Send as Microsoft Excel, or Send as PDF radio button.
Note: This only send a summary of the invoice and not the invoice itself


8. In the Schedule subtab, mark the Single Event radio button
9. Select time when the search will start running in the Start Time field

10. Click Save
