Scenario

User encountered the below error after submitting the Pay Event related to Fiscal Year.

Solution

The issue is caused by employees who have been paid in the tax year and set as inactive but their NetSuite access and roles were not removed.

The STP process cannot create a Pay Event record if the employee record is inactive. Therefore, to be able to create a pay event record, the system clears the inactive flag temporarily hence, the access assigned to inactive employee is being counted against the available licenses. If the full user access license have been used up, the error happens.

To correct the error:

1. Review all inactive employees who have been paid during the tax year.
2. For each employee record, review the Access tab and ensure that the Give Access box is unchecked and remove the roles assigned. Save the changes made to the employee record.

3. Go back to the Pay Event and delete.

4. Reprocess the Send Update Pay Event for the current year.
