Scenario
Process Invoice payments through Direct Debit via the Electronic Bank Payments.
Solution
At least the free version of Electronic Payments bundle is installed. For the steps below, the EFT Bill Payment Batch Approval Routing is not enabled (Payments> Setup> Electronic Payments Preferences> General Preferences tab).
1. Enter Company Bank Details
- Payments > Setup > BankDetails> New
- On Name field, enter Name
- On GL Bank Account, select Account
- On Legal Name, enter Company’s Legal Name
- On Print Company Name, enter Company Name that should appear on email notification
- On DD Template, select desired template
- Click Save
Note : The page reloads and additional information is needed to be entered.
2. Create a Customer record with Bank Payment Details
- Lists> Relationships> Customers> New
- On Company Name field, enter Name
- On Bank Payment Details (Debit) tab, mark the Direct Debit box
- Click Save
- On View mode of the newly created Customer, click Bank Payment Details (Debit) tab
- Click New Entity Bank Details button
- On Entity Bank Details page, enter the following:
- Payment File Format= file format selected in Step #1
- Type= Primary
- Fill out accordingly other fields such as Bank Account Number, Bank Name, etc
- Click Save
3. Create a Customer Invoice
- Transactions> Sales> CreateInvoices
- Customer= custom created in Step #2
- Approval Status= Approved
- Click Accounting tab
- Select an Account (if field is not available, it means system has only one Accounts Receivable)
- Go to Items tab and enter any Item
- Click Save
4. Process DD – Invoice Payments
- On Bank Account field, select Bank Account created in Step #1
- On A/R Account field, select A/R Account chosen in Step #3
- On EFT File Reference Note, enter any note
- Mark the Invoice created in Step #3
- Click Submit
Once the Payment File Administration is processed successfully, the File Reference field should have a download link to download the output file.
