When you set up an Employee Record and set the Hire Date field. The same date populates in the Service Date Continuous field on the Leave Infotab. It is the Service Date Continuous field that populates the LSL Anniversary Dates based on what your date settings are in the LSL Entitlement record you use.
Should you edit the Hire Date later down the track? The Continuous Service Date field however, does not automatically change. You need to edit that field manually or by clicking 'Update Continuous Service Date' button so that the LSL Anniversary Dates update as well.
The LSL Balance field shows what is accrued each pay, it just keeps growing (and obviously reduces if the person takes LSL), whilst the LSL Available field stays as 0.
When the employee hits their First Anniversary Datethe LSL Available field will populate with what is showing in the LSL Balance field at the time and the LSL Available field stays at that amount (unless of course the person takes LSL) until their next Anniversary Date (usually 5 years down the track, VIC does not do the 5 year thing anymore).
Sometimes the Anniversary Dates do not set properly (or are empty), this can happen randomly on set up when info is imported etc.. You can fix this by changing the LSL Entitlement field to None and Save the changes. Then Edit the record again and enter the relevant LSL Entitlement and Save to refresh the dates. Otherwise, clicking on Update Leave Dates or Update Leave button when you are making changes could do the trick too.
If you have to manually make changes to LSL Balance and LSL Available Hours fields please apply the below logic, it is based on Pay Day dates field as to what appears in which LSL field.
IF EMPLOYEE HAS NOT YET REACHED THE LSL ANNIVERSARY DATE AND IS NOT ENTITLED TO TAKE LSL
On Leave History record, selecting Accrual as yourAccrual Type whether it has a
date or not gives accrual to LSL Balance field only while selecting Taken will impact both LSL fields.
IF EMPLOYEE IS PAST THE LSL ANNIVERSARY DATE AND IS ENTITLED TO TAKE LSL
The below is in relation to Accrual on Leave History records while Taken on Leave History records will impact both LSL fields.
- No date on a Leave History record gives accrual to both LSL Balance and LSL Available fields.
- If date on a Leave History record is the actual anniversary date, the system gives accrual to both LSL Balance and LSL Available fields.
- If date on a Leave History record is prior to the anniversary date system gives accrual to both LSL Balance and LSL Available fields.
- If date on a leave history record is after the last anniversary date and prior to the next anniversary date system gives accrual toLSL Balance field only.
