Scenario
Scenario 1: User has a Bill Payment amounting to $600. On the other hand, Bill Amount is only $300.
1. Open the Bill record and navigate to the System Information tab> System Notes.
2. Verify if the Bill Amount was changed by a user.
Scenario 2: If the Bill Payment is amounting to $600.00 and the Bill was changed to $1,000.00 and it was changed by mistake, Status of the Bill will change from Paid in Full to Open.
Solution
To correct this:
1. Open the Vendor Bill record.
2. Click on the Credit button on the upper portion of the page.
(No need to edit the line items with the original amount)
3. Click Save.
Result: You will be directed back to the Bill page and status is now Paid in Full. Check the Related Records tab as well to see that aside from Bill Payment, a Bill Credit is now linked to the Bill. Amount of the Bill Credit should be the difference.
Currently, the system allows users to modify the Amount of a fully paid Bill. This is the reason of the amount mismatch. Once the Bill Amount is changed, the Bill Payment Amount will still be the original payment Amount.
The ability to restrict users to modify fully paid Bills is still an Enhancement logged under 86571 Ability to lock transactions after they've reached a certain status, i.e. Invoices, Bills, Expense reports that have been Paid in Full.
