There was a change in the 2020.2 version on the calculation of the allocation of expenses using Dynamic Allocation. Previously, the unapproved Statistical Journal Entries were included in the computation of the Allocation Schedule. Starting 2020.2, only the approved Statistical Journal Entries will be considered in the allocation of the expenses using Dynamic Allocation. Since there were unapproved Statistical Journal Entries in the previous period, those were excluded in the current run of the Allocation Schedule.
In order to resolve this, the user has the following options:
- Approve all the pending Statistical Journal Entries; or
- Create Statistical Journal Entry manually to account for the change in the headcount as catch-up adjustment
If user does not want to re-open the accounting period, user can choose the second option and perform below steps:
A. Get the balance of Statistical Account used in the Dynamic Allocation as basis as of the period
- Go to Transactions > Financial > Statistical Schedule > List
- View Headcount
- Click the Saved Search link to load the Saved Search
- Click Return to Criteria
- Criteria tab: Add the following filters:
- Date Created = on or before the date
- Subsidiary if using OneWorld
- Click Submit
- Export the search result
B. Create a Saved Search for the list of approved Statistical Journal Entries to get the current balance per Department
- Navigate to Reports > Saved Search > All Saved Searches > New
- Select Transaction
- Criteria tab: Add the following filters:
- Account = Statistical Account
- Status = Journal: Approved for Positing
- Date = on or before the date
- Subsidiary
- Result tab: Add the following fields:
- Department
- Summary type : Group
- Amount
- Summary type : Sum
- Search Title: Enter desired name
- Click Save & Run
C. Create manual Statistical Journal Entries
- Navigate to Transactions > Financial > Make Statistical Journal Entries
- Enter values on below fields:
- Date
- Posting Period
- Unit of Measure
- Account
- Click Save
- Approve the Statistical Journal Entries
D. Generate the Allocation Journal Entry
- Go to Transactions > Financial > Allocation Schedule > List
- View the Allocation Schedule
- Click History tab
- Click Journal Entry link generated from previous run which is incorrect
- Edit Journal Entry
- Hover on Actions
- Click Delete
- Edit the Allocation Schedule
- Set the Next Date to the previous period that needs to be re-run
- Click Save
- Click Create Journal Entry
